In the main this will depend on two things :

• Operational requirement
• Costs

Copying You will find that copy volume is far lower than print volume and that copying is a minor inconvenience in most organsiations rather than an important business need.

Faxing Where possible use centralised software based fax services. This allows better control and storage of documents and saves paper where possible (How many of your faxes do you actually need to print?)

These points all add up to suggest that sometimes just putting in, normally larger, multi function devices is actually cost saving in the long run. Yes, you may save money because you’re removing your unmanaged and uncontrolled devices, but often the result can still be overkill for your requirement.

Sometimes consolidating networked printers can be more cost effective in the long run. Especially as you can still manage your printing and printing costs with software should you wish to.
